September 24, 2002 MEMORANDUM To: Sandy Darity, Director, Institute for African-American Research Joyce Clayton, Director, Upward Bound Student Cultural Organizations From: Joseph Jordan, Director, Sonja Haynes Stone Black Cultural Center (SHSBCC) Re: Office Space Allocation in the SHSBCC Building As you may know, in early July, Clancy and Theys Company broke ground and began the construction of the Sonja Haynes Stone Black Cultural Center (SHSBCC). We have also been busy here with the other logistical aspects to support the building project, including a continuing review of interior plans, fundraising, and working with designers to provide for the finishing touches that will make the building both functional and unique. Below you will find a description of how space in the building will be managed and allocated. SHSBCC MANAGED COMMON SPACES Common Spaces will be managed and scheduled by the staff of the SHSBCC and will be available to residents of the Center and to the campus (residents of the building will have priority access to these areas). Those areas are the Gallery/Museum space; the Reverend Harold J. Cobb Theater; the James Davis Hitchcock Multi-purpose Room and the adjacent Dance studio; two seminar rooms located on level two; the conference room located on level two;and the computer lab on level two. The Cobb theater will be managed in association with the Carolina Union Activities Board. It is expected that scheduling for the Gallery/Museum Space will be on a two-year schedule. OTHER SHSBCC SPACES The 10,000 volume library will be managed by the University's library services. The two classrooms on level two will be managed by the registrar's Office. ASSIGNED SPACES At this point, I am considering the space allocations for those organizations that will be residents of the building. In order to meet your needs and to balance the resources available to us, I want to finalize space assignments by November 1, 2002. Please forward to me your estimated space needs based on current authorized positions, and approved project-based plans. Assignments will be based upon the following criteria, in rank order: * Number of full-time, on-campus, permanent staff or faculty; * Number of full-time, on-campus, non-permanent staff or faculty including adjuncts, visiting scholars or fellows, resident scholars or fellows, post-doctoral scholars or fellows and research scholars or fellows; * Number of part-time, on-campus, permanent staff or faculty (if you have recurring positions please indicate); * Number of part-time, on-campus, non-permanent staff or faculty including adjuncts, visiting scholars or fellows, resident scholars or fellows, post-doctoral scholars or fellows and research scholars or fellows (if you have recurring positions, please indicate); * Number and type of recurring, regular programs/programming (i.e., performing and other presentation series, service projects, academic projects, etc.,.); Student Cultural Organizations will be assigned office space using the following criteria: * Only registered student groups in good standing (reviewed on an annual basis); * Completion of a brief narrative that includes mission statement, officers for current year, size of membership, and name of advisor(s); * Completion of a narrative that describes the group's cultural activities in the previous academic year, including audience served, number or events held or attended, or projects undertaken.
